Privacy Policy

This policy explains what information the Club needs, why it is used, who may process it, and the choices available to Members.

1. Scope and data controller

This Privacy Policy explains how Deep Conversation Club’s operator collects and uses personal data when you visit the website, buy or manage a membership, join an online conversation, or participate in the Discord community.

2. Data we may collect

We may collect your name, email address, Discord username, account or contact handle, billing status and transaction identifiers, selected plan, attendance and scheduling information, messages you send to us, support and refund requests, moderation records, and technical information such as device, browser, IP address, timestamps, and basic website logs.

We do not need your full payment-card number and normally receive only payment confirmation and limited transaction data from the payment provider. Please do not send sensitive personal information in a registration form or support message unless it is genuinely necessary.

3. Why and on what basis we use data

We use data to process and administer membership, send joining information, organize rooms, provide Discord access, handle cancellations and refunds, support Members, keep the community safe, prevent misuse, comply with tax and legal duties, and improve the Club.

Depending on the activity, the legal basis is performance of our agreement with you, steps requested before entering that agreement, compliance with law, our legitimate interests in operating a safe and reliable Club, or your consent where consent is required. Marketing messages are optional and may be withdrawn without affecting service messages.

4. Conversations, recordings, and information shared with Members

Other people in your room will see your display name, image or video, hear your voice, and receive the information you choose to share. The Organizer does not record Club conversations by default. If a recording is ever proposed, affected participants will receive advance information and recording will require specific consent.

Members are contractually required not to record or disclose another participant’s personal stories without permission. However, no online conversation can be made risk-free, so share only what you are comfortable sharing with the people present.

5. Service providers and recipients

We disclose only the data reasonably needed to providers that help run the Club, such as a payment processor, video-conferencing platform, Discord, website hosting and security providers, email or messaging services, bookkeeping advisers, and professional advisers. We may also disclose information when required by law or necessary to protect people, rights, or the Club.

These providers process data under their own policies or on our instructions. Some may process data outside Ukraine; where applicable, we rely on contractual, consent-based, or other lawful safeguards available for the transfer.

6. Cookies and website logs

If it were entirely up to us, this website would not use cookies. At present, we do not intentionally set analytics or advertising cookies. Our hosting and security providers may still use strictly necessary storage or create standard access and security logs to deliver and protect the website.

We do not display a cookie consent banner while the website uses only strictly necessary technology. If we later add Meta Pixel, advertising measurement, optional analytics, or other non-essential tracking, we will update this Policy and, where required, keep that technology disabled until you make a consent choice.

7. Retention

We keep membership and communication data while your account is active and afterward only as long as reasonably necessary for accounting, legal claims, fraud prevention, and statutory obligations. Payment and accounting records may need to be retained for the period required by Ukrainian law. Routine support and moderation records are deleted or anonymized when they are no longer needed.

8. Security

We use reasonable organizational and technical safeguards and limit access to people and providers who need it. No internet service is completely secure, so we cannot promise absolute protection. If a breach creates a material risk, we will take the response and notification steps required by applicable law.

9. Your rights

Subject to Ukrainian law and any applicable exceptions, you may ask what personal data we hold and why, request access or correction, object to or request restriction of certain processing, withdraw consent, request deletion where retention is no longer legally required, and complain to the Ukrainian Parliament Commissioner for Human Rights or another competent authority.

To exercise a right, contact us using the address below. We may ask for enough information to verify your identity and will respond within the period required by law.

10. Children

The Club is intended for adults aged 18 or older. We do not knowingly offer memberships to children. If you believe a child has provided personal data, contact us so we can investigate and delete it where appropriate.

11. Changes and contact

We may update this Policy and will show the effective date. Material changes will be communicated when required. Questions, privacy requests, and complaints should be sent to alx.tkach7@gmail.com.
